Business writing is much more precise and less detail oriented than other styles of writing. In writing for a business there are a few elements you must know. Your knowledge or lack there of these elements can make or break your business writing career. Your goal for business writing is to strive for clarity and precision, yet not be too vague or elaborate. Examples of business writing would be emails, business plans, brochures, and many more. Virtually anything writings that pertain to a business are classified as business writing.
When people read business writings they are not only looking for what happened and why, but how you are handling the situation at hand. A person reading a business writing that has an organized and concise style with an active tone is going to heed a much better result and give confidence that any matters will be taken care of.
Organize your thoughts. The more organized you are the quicker and easier it will be for you to put your words in a decisive and orderly style. Your writing should be grammatically correct along with the proper usage of capitalization and punctuation. These errors can cause misinterpretations amongst the readers of your business writings. An example of correct and incorrect punctuations would be “We are missing the actress Jane.” Or “We are missing the actress, Jane.” While both are correct, they mean two entirely different things.
Business writing is backwards or upside down from other writings. You start with the ending and then give a brief synopsis on how you got to that point. You may include other avenues that were considered and why they were not chosen.
Have a positive attitude. Even if you are conveying a message that has on outcome other than optimal a positive tone will bring a much better response. Tell your readers what good came about from the outcome. Tell them what you can do with these results. For example a non-profit agency held a fundraiser. They were hoping to bring in $25,000 for building repairs and play ground equipment. Unfortunately, they only got $15,000. Positive tone writing would be “Our fundraiser was successful. We can now begin building repairs.” Or “The new playground equipment will be delivered tomorrow due to our successful fundraiser.” Even though it was not as much of a success as you would have liked, by keeping a positive attitude and showing people what can be done will promote a positive attitude in the future. A negative tone might be something like “Since our fundraiser was not as successful as we had hoped, we will have to choose between playground equipment and builder repairs.” This approach could be unfavorable to future fundraisers because it seems as though you are unthankful for what you did get. Being positive shows your appreciation for the hard work or donations that you have received.
Don’t play the blame game. Even if you know whose fault it is a deal fell through there is no need to start a mud-flinging contest. Surely, the person responsible is already aware of the situation and chances are so is everyone else. Down the line they are not going to remember whose fault it was, but they will remember who was naming names. This is not only very unprofessional, it is malicious and that is not how you would like to be talked about.
Finally using an active voice will promote a better reception to your business writing than a passive one. An active voice shows that you are in control and are aware of how or why things are going to happen.
Why Taking that Vacation Can Lead to a Better Workplace Do you love your vacations? Are they relaxing, fun and entertaining? There are many reasons why a vacation can enrich your life and fulfill you with joy and happiness. But many of these reasons actually can also be directly translated into reasons for why taking that vacation can lead to a better workplace for you, your boss and other employees. Vacations are as essential to a hard working employee as a parachute to a person jumping from an airplane with the goal to land safely. Many employers would love to minimize the time you are gone from your workplace because they think the more time you spend there, the more work you will accomplish. This argument is right up to a certain amount of hours and days a months or a year, but whenever your body starts to get tired and exhausted, the amount of work that you produce decreases. The quality of your work starts to decline as well. Time off work, time together with your family, time to relax, time to regenerate and time to just plain have fun are very important in an employees life. Taking a vacation has many benefits to the employee, but also to the company you work for. The more relaxed and happy your worker starts a workday or the workweek; the better will most likely be his or her performances at work. Research has shown that relaxation and regeneration are essential to human bodies. Did you know that in some companies in Europe and Asia, the emphasis on relaxation goes so far that meditation, morning sport and a short power nap belong to their required parts of a work day? The United States is actually one of the only industrialized countries that does not mandate a minimum of vacation days that the worker has to take off. In fact, in many countries in Europe, a minimum of 20 and more days is the norm. Since the late 1970s, the average middle income family works in total hours three and more months a year more then they did back then and according to a research done by Boston College, approximately 25% of Americans do not take a vacation at all. After all these facts are slowly emerging from mounts of collected date, some of the bigger American companies have actually begun to realize that off-time and vacation are essential to prevent mishaps and screwed up designs and products. If you are not taking your vacation or your employers does not allow for any vacation, a series of health hazards such as stress and high stress, sleeplessness, burnout, heart attacks and even more serious health conditions can occur. Another big factor in working too much, working overtime or never having vacation can be problems and loss of family and friends. Problems with families and friends will directly impact performance at work and even though the employee might not talk about it at work or might b e holding back his or her feelings, the mood and general behavior of the employee will have an impact ion his work and other employees. Every employee should value the vacation time given to him or her and employers should grant the time asked for to their employees. Vacation is essential to the performance at work and the quality in products the company can deliver. Following the examples that are set by many European countries, the US should give their employees the time they need and also make sure that their employees do take the time off to be a better employee overall. Vacation is fun, relaxing and regenerating. Five Flex Time Options that Can Propel your Employee Productivity Flex time is something that is still very rarely used in the United States, but has many followers in other countries, especially European countries. Flex time in general means flexible working hours for employees of a company. They way the flexible working hours are implemented can differ greatly. But one thing is for sure, flexible working hours can greatly propel the employee productivity in your company. Take a look at five different ways to implement flex time in your company. The first and probably easiest way is to give your employees the option to come in to work and leave work within a certain time range. For example, so far your employees worked from 8am to 5pm, now you might give them the opportunity to come in to work anywhere from 7am to 9am, and of course, leave somewhere between 4pm and 6pm. This first model would give your employees an opportunity to be on time as long as they are within that range and their individual habits are considered in regards to being an early riser or a late sleeper. This first model would set the rule that there are 8 work hours plus a one hour lunch in a work day and these are not variables. Therefore, you only have to check their arrival and leaving times in one way or another. A second option is very similar to this, but you can expand the hours worked to a weekly or monthly check, where the employee is responsible to work 40 hours a week with one hour lunch everyday. Then he or she can come and leave in the morning and afternoon in the specified time ranges. For the employee, this means maybe on days that he or she is more energetic, they can spent more hours at work to get their work done and on days they do not feel so energetic or so good or they have family things going, on they can come in the minimum hours established from 9am to 4pm. This version of flextime is a much appreciated model by many employees, but for the employer, it means more work in tracking hours worked and arrival times, to make sure the required hours per week or months are worked. An even more advanced version of the first two flex time themes is a theme where the worker can accumulate time to take off at some point in the future. How specifically you are going to use this version is up to you. You basically are making sure that your employees are not working more than the required amount of hours. Why would you profit from this? Less time spent at the work place makes for more time to relax and regenerate and your employees will be more efficient and motivated throughout your work week. In some companies this flex time method allows the employee to accumulate hours up to a certain amount and then for example, they are allowed to leave after six hours for several days to be home for activities with their family. In an even more expanded version, a fourth version of flex time options, the employee can actually take full days off after having accumulated hours. These days are in general additional to vacation and holidays and can be taken in agreement with their supervisor. The fifth option that has been adopted by some companies actually gives the employees the chance to go into negative hours on their time account. This means if you do not have the required hours, you can still take a flex day off, but have to make sure that after a period of time, that the employer sets in the contract your account goes back to zero or higher. If the employer is a really generous person, he might allow you to completely choose the hours you want to work. You might be able to take work home or work from 10pm to 3am if you desire, as long as you have your assignments done on time and your hours are fulfilled. |
